Now if you are processing a payment to remove a balance on a client’s account for example a payment that couldn’t be made at the service center. You will see a balance on the account before processing the payment.
When you click on Add New Invoice your invoice should look like this.
If the client is just trying to pay this balance then you should proceed to click on Save invoice and make credit card payment. You will proceed to take the credit card information and process it as normal. You will be taken back to the Account History tab and there should be a zero balance and a new invoice line created.
Tip: Anytime that you are processing a payment you should open the invoice and copy the reference number into your notes including the breakdown of what was charged.
Your notes should look something like this. We should be able to clearly understand what you took payment for.
